Your role as Payroll & People Administration Specialist (Part Time)
We are seeking an experienced payroll professional to take ownership of payroll delivery within the People Operations team.
This is a flexible part-time position (15–20 hours per week) with a salary of 28-32k PRO RATA and based on experience.
This role is responsible for the accurate and compliant processing of payroll across multiple payrolls currently covering around 500 employees.
The successful candidate will manage payroll operations end-to-end, ensuring statutory compliance and accurate reporting while acting as a key liaison between People Operations, Finance and external providers.
Alongside payroll responsibilities, the role will support the administration of core HR processes, helping to maintain accurate employee records and ensuring the smooth delivery of People Operations services across the organisation.
This role offers the opportunity to take ownership of payroll processes while contributing to continuous improvement across payroll and people administration practices.
Key Responsibilities
Payroll Management
Manage the end-to-end payroll process across multiple payrolls totalling around 500 employees
Ensure payroll is processed accurately and within deadlines across multiple legal entities
Process and validate payroll data including starters, leavers, salary changes, bonuses, overtime, allowances, deductions and statutory payments
Reconcile payroll data prior to submission to ensure accuracy
Process payroll using HR and payroll systems (HiBob and Pento), ensuring alignment between systems
Ensure accurate calculation of statutory payments including SSP, SMP, SPP and other statutory entitlements
Respond to payroll-related employee queries in a timely and professional manner
Statutory Compliance & Reporting
Submit Real Time Information (RTI) returns including FPS and EPS filings to HMRC
Ensure compliance with HMRC payroll legislation and statutory regulations
Maintain pension auto-enrolment compliance and coordinate pension uploads
Support year-end payroll activities including P60s and P11D reporting
Maintain accurate payroll records and documentation to support audit and compliance requirements
Stay up to date with payroll legislation, tax regulations and company policies impacting payroll
Payroll Reporting & Finance Support
Help to prepare payroll journals and reports for Finance reconciliation and audit purposes
Generate payroll reports for payments and third-party providers
Assist with payroll reporting and month-end processes
Maintain accurate documentation and audit trails for payroll processes. International Payroll Coordination
Act as the primary internal contact for the organisation’s USA PEO provider
Provide accurate payroll data for US-based employees where required
Ensure alignment between UK HR data and US payroll processing in collaboration with the PEO
HR & People Administration
Maintain accurate employee records within the HR system
Respond to employee queries relating to payroll, benefits and HR administration
Provide general administrative support to ensure the smooth running of People Operations processes
Help to coordinate the administration of employee benefits including private medical insurance, life assurance, income protection, cycle to work and other salary sacrifice schemes
Ensure payroll deductions relating to benefits are processed accurately
Support benefits-in-kind reporting and annual P11D submissions where applicable
Skills & Experience
Essential
Previous experience administering payroll end to end
Strong knowledge of UK payroll legislation and HMRC reporting requirements
Experience processing RTI submissions (FPS / EPS)
Knowledge of Pension Auto Enrolment processes
Experience managing payroll data with high levels of accuracy and attention to detail
Strong organisational skills with the ability to prioritise workload and meet deadlines
Excellent numerical and analytical skills
Ability to work independently and take ownership of payroll delivery
Desirable
Experience managing multiple payrolls or payrolls across multiple entities
Experience with P11D preparation and benefits administration
Experience using HiBob, Pento or similar HRIS/payroll systems
Experience working with an International PEO provider
